This Privacy Policy explains the information Enigio may collect on this website, how the information is used, and how you can access and correct certain information that we may collect.

For the purposes of this Privacy Policy, we act as the Data Controller of your personal information. Within this Policy, the terms ‘personal information’ and ‘personal data’ are used interchangeably to mean any information that identifies, relates to, or can reasonably be linked to an individual.

Enigio offers three Services:

  • time:beat
  • e:archiver

This Policy applies to all three Services and references are made where relevant. All definitions in this Policy shall be interpreted in accordance with applicable data protection laws, which include the General Data Protection Regulation (Regulation no. 2016/679) (“GDPR”) and the Directive on Privacy and Electronic Communications (Directive 2002/58/EC), as well as national implementations and related legislation.

This Policy should be read together with our Terms of Use and our Online Purchase Terms. The Online Purchase Terms apply to customers purchasing services directly from our Site, while the Terms of Use apply to anyone accessing or interacting with our services, systems, or documents.

Please note that this Site contains links to other websites, including those maintained by affiliated entities of Enigio. Also, Enigio may use third parties to host, operate, or maintain portions of its websites.

1. Information regarding your data protection rights under General Data Protection Regulation (GDPR)

Legal basis for processing: We may process your personal information because:

  • We need to perform under a contract with you
  • You have given us permission to do so
  • The processing is in our legitimate interests and it's not overridden by your rights
  • For payment processing purposes
  • To comply with the law

Your rights: If you are a resident of the European Economic Area (EEA), you have the following data protection rights:

  • Photos taken by time:shot that you have chosen to store in your account (note: these are not accessed or processed by Enigio)
  • Billing address
  • Shipping address (if applicable)
  • Phone number (optional for support and transactional notifications)
  • Order history and transaction data including method of payment (e.g., last four digits of credit card if applicable, via payment gateway provider)

We require the personal data listed above in order to provide you with access to our Services. The processing of this data is necessary to enter into and fulfil our contractual relationship with you, and to ensure the proper delivery and maintenance of the Services.

Documents stored or managed within the trace:original Service may also contain personal data, depending on how users choose to structure or populate those documents. Enigio does not access or use the contents of such documents, except where necessary to provide the Service (e.g., secure storage, integrity checks, or troubleshooting). Responsibility for the content of archived documents rests with the user.

In addition to the information you provide directly, Enigio may also collect relevant personal data from trusted third-party sources, where appropriate. Such data will only be used as reasonably necessary to respond to your requests and to provide tailored information or service offerings. All data collected in this way is treated as “Personal Information” in accordance with this Privacy Policy.

Enigio also monitors traffic to and from the Site to identify technical issues, ensure security, and support overall administration. This data may be used to produce aggregated demographic insights to improve user experience, without identifying individual users.

3. Use of your personal information

Enigio uses personal information submitted through the Site to provide a way for customers, partners, customer and partner prospects, and other contacts to communicate with our team.

Enigio collects the personal information from you to establish and maintain relationships and to serve you better. Enigio will use your information to:

For trace:original, time:beat and time:shot, Enigio does not access, use, or process the content (e.g., personal photos, comments or documents) stored in your account, except where explicitly required and requested for technical support or incident investigation purposes. These material remain private unless explicitly shared by you.

In some circumstances, Enigio may share personal information that you voluntarily submit with trustworthy business partners. We will only use such third-party business partners in order to deliver services to us or on our behalf, and they are prohibited from using that information for any other purpose.

This includes service providers such as cloud hosting platforms, analytics providers, support tools, and secure payment processors like Stripe. These processors only act under our instructions and are bound by data processing agreements.

Personal Information collected on this Site is primarily stored and processed in Europe. However, depending on service configuration and geographic deployment (e.g., multi-tenant nodes), data may also be stored in other jurisdictions in accordance with applicable data protection laws.

Due to the existing legal, regulatory, and security environment, Enigio may be required, under certain circumstances, to disclose aggregate level and/or personally identifiable information submitted to Enigio through the Site.

Enigio will use reasonable efforts to limit such disclosures to the following circumstances:

  • Where reasonably required to do so in order to maintain, update or otherwise implement Enigio’s data security measures, equipment, technical operations and the like.
  • Where reasonably necessary to identify, contact, or bring legal action against persons or entities to preserve and/or enforce Enigio’s rights, including but not limited to enforcing the Terms of Use for this Site or the Terms and Conditions for Online Sales.

  • In urgent circumstances to protect the personal safety of the public or of users of the Enigio products, Services, and the Site.

Enigio undertakes substantial efforts to protect the confidentiality of the personal information, preferences, and other information it has collected through this Site and will never knowingly allow access to this information to anyone outside Enigio other than as described herein. Enigio has made a substantial investment in its server, database, backup, and firewall technologies to protect the information assets of the Enigio network, including the confidentiality of Personal Information collected through this Site. These technologies are deployed as part of a sophisticated security architecture and protocol.

We implement appropriate technical and organisational security measures, including encryption in transit and at rest, secure user authentication, regular access audits, and system monitoring to prevent unauthorised access, alteration, disclosure, or destruction of your personal data.

Your Enigio username and any password (if such is provided or enacted) are confidential, and we recommend that you not divulge them to anyone. As a result, while we strive to protect Personal Information that is transmitted to us by you, Enigio cannot ensure or warrant the security of such information. The Personal Information that you submit to Enigio will only be retained for as long as is requires for the purposes for which it was collected or as required by law. Our retention of your personal information allows Enigio to continue to provide you with highly personalised services without interruption.

We maintain a Data Retention Policy which sets specific retention periods based on the nature and purpose of the data, as well as applicable legal obligations. We regularly review our data holdings and securely delete or anonymise personal data when it is no longer required.

Enigio reserves the right to change this policy at any time and without prior notice to you. Please check the Privacy Policy frequently for changes.
